Facts about the analytics technology, personal data, security, compliance, and how AI is used responsibly

Does the analytics require installations on the client end?

No, People Impact Analytics® does not require any installations on the client end, neither for workstations or for servers.

The surveys are conducted via an online survey, running in secure commercial cloud owned and managed by NayaDaya Analytics. The people respond to the survey with their computer or mobile phone web browser.

The resulting analyses is delivered online to the client, via email, or Microsoft Teams, or other methods, depending on client’s preferences.

How does the survey work technically?

For People Impact Analytics®, no installations are needed on the client end.

The key solution components, technically, are

  1. A simple online cloud survey which the employees can respond to by using their browser in a computer or mobile phone
  2. The analytics algorithms run in the back-end system (not client-facing) leveraging AI and other algorithms, and some human curation
  3. The resulting analysis which is delivered simply as a PDF file, or some other mutually agreed format, usually through Teams file distribution or email (the client can select their preferred distribution method)

The solution is fully anonymous and does not collect, process, or store any personal information.

Where will our data be stored?

First of all, let’s first note that People Impact Analytics® is strictly anonymous and does not receive, store, or process any personal information.

That said, the data content coming from our employee surveys and resulting from the analytics is, of course, confidential client information and we treat it very carefully as such.

The data currently resides in the European Union, both in secure commercial clouds and local computing. The data is encrypted at rest, in transit, and in use, with proper cyber security measures and contingencies in place.

How does your AI use comply with European Union AI Act and similar regulations?

People Impact Analytics® uses AI on responsible, compliant way, for the benefit of the client companies and their employees. Looking at the European Union AI Act, our analytics is a Level 3 (Limited Risk) application and fully complies to the regulation.

To name just a few of the safeguards we use:

  • We use AI on a responsible, compliant way, for the benefit of the client companies and their employees
  • We have “a human in the loop”, a human professional always curating and having the ownership on the analysis outcomes and intervening when necessary
  • Only anonymized data is ever fed to cloud-based AIs
  • We do not let any commercial AI services to use our data for training
  • Our online survey form does not contain any AI functionalities; it is simply collecting data that the people enter; more specificly, the application does not use AI for recognizing emotions

How does the analytics process personal information?

People Impact Analytics® does not receive, store, nor process any personal information at all.

Hence, the surveys and the following analyses are fully anonymous. NayaDaya Analytics does not even receive email addresses of the targeted people, so we do not know who the respondents are.

We have a strict end-to-end protocol in place to protect the anonymity, starting from initial automatic redaction of any incidental personal data, and ending with a human curation of the analysis report to validate the anonymity

The only case for which NayaDaya Analytics processes personal information is using business contacts for the purpose of marketing and sales. This is not part of the analytics solution. See Privacy Notice | NayaDaya Analytics.

How does the analytics use AI?

People Impact Analytics® leverages AI extensively for many purposes along the analytics process – although it uses other algorithms as well. Some examples of AI use include

  • Categorizing information
  • Summarizing data
  • Recognizing patterns and anomalies
  • Drawing conclusions
  • Creating and reviewing action recommendations
  • Checking for (and redacting) incidental personal information
  • Conducting translations

We are using a combination of

  1. Training our own private custom AI models
  2. Fine-tuning pre-trained models
  3. Leveraging commercial AI services

NayaDaya Analytics uses AI on responsible, compliant way, for the benefit of the client companies and their employees. We do not let any commercial AI services to use our data for training.

Looking at the European Union AI Act, People Impact Analytics® is a Level 3 (Limited Risk) application.

Are you identifying the respondents?

People Impact Analytics® does not identify any of the respondents. The surveys and the following analyses are fully anonymous. NayaDaya Analytics does not even receive email addresses of the addressed people.

The analytics also does not enable the client to identify the respondents. They obviously know who the employees invited to the survey are, but they don’t know who participated and who responded what. We do not share raw data in the form which would enable them to connect results to individual people or conduct cross-tabulation of the results.

Does the analytics comply with GDPR and similar regulations?

Yes, People Impact Analytics® is fully compliant to GDPR and similar regulations – through the cleanest possible way, which is by not receiving, storing, or processing any personal information at all.

Hence, the surveys and the following analyses are fully anonymous. NayaDaya Analytics does not even receive email addresses of the targeted people.

When applying several background (demographics) variables, doesn't that enable the company to identify people?

No it doesn’t! All People Impact Analytics® surveys are fully anonymous and we take anonymity of the respondents very seriously.

To protect the anonymity even when background (demographics) variables are used, we have certain absolute restrictions in place, including:

  • We never allow the background variables to identify subgroups smaller than 5 people
  • We never run cross-tabulation based on the background variables - not internally, and not enabling the client to do that either: we do not share raw data with the client in the form which would enable them to connect results to individual people or conduct cross-tabulation
  • We never receive from our client any kind of personal information as part of the analytics, so we do not know who the respondents are
  • We have a strict end-to-end protocol in place to protect the anonymity, starting from initial automatic redaction of any incidental personal data, and ending with a human curation of the analyses report to validate the anonymity

What if some of the employees don't have a laptop – or not even a work email?

People Impact Analytics® can very well be used in use cases where all or some of the targeted employees do not have a dedicated computer – or not even a work email.

While the most typical way to invite the people to the survey is indeed via email, there are other great options:

  • QR code + smartphones: We can provide a QR code for the survey form; the QR code can be printed all around the premises, and the people can use their work or private smartphones to enter the survey form
  • Shared computer: The client can assign conveniently located shared computers which the employees can then use to easily respond to the survey
